Play The Portal
Privacy Policy
What we collect, how recruiting information is shared and the choices you have.
Last updated October 10, 2026
Information you provide
Play The Portal collects account information such as your name, email and authentication details; player information such as birth date, program, position, playing level, school, team history, location and housing preferences; and coach information such as role, team, phone, location and recruiting needs. Optional profile information can include nationality, photos, highlight links, statistics, awards and references. Only share reference contact details or other people’s information with their permission.
Information from your use of the service
We process portal memberships, profile updates, interests, responses, invitations, signing status and relevant activity such as profile or film opens. Authentication cookies and similar storage maintain your session. Browser storage can retain unfinished onboarding answers on your device so you can return to them; verified handoff can attach those answers to your account. Technical and security records can include request, device, network and error information used to operate and protect the service.
How we use information
We use information to create and secure accounts, verify email, build profiles, provide portal access, organize recruiting and matching, process interests and invitations, send access codes and service notifications, support users, prevent abuse and improve reliability. Fit indicators use profile information and recruiting preferences; they do not guarantee selection or recruitment. We do not need your optional phone, media, awards or references to create a player account.
Who can see your information
Eligible coaches can see player profile information through the portals where the player has active access and a visible profile. Different portals can expose different portal-specific details. Verification and profile visibility rules apply before a player becomes discoverable. Email and phone are not part of an unrestricted coach directory: sharing follows the application’s mutual-acceptance checks. Authorized administrators may access information for account support, safety and operation. Sport Directors are limited to their assigned sports; the global Super Admin controls grants and payment activation. Administrative changes are audited. Do not include private information in a field intended for your recruiting profile.
Purchases and payment records
For feature purchases we process the account and Portal, offer, quantity, price, currency, payer attestation, order identifier, Checkout session/payment identifiers, payment state, signed provider events, credit usage and refund or dispute records. Stripe receives the checkout email and order/payment information needed to process the transaction; card credentials are entered with Stripe, not stored in a recruiting profile. Payment metadata can include internal account, Portal and order identifiers. We retain order, ledger and dispute receipts for accounting, security and legal obligations. Purchased placement changes eligible card order, not an AI Match score, permissions or private-contact access.
Applications and introduction email choices
We process player applications, the coach and opening selected, status and responses. Application signup for coaches clearly includes player-introduction emails for their sport and selected Portals. We record the notice version, affirmative agreement and time; existing coaches are not silently enrolled from an old account or generic Terms acceptance. Coaches can turn introductions off under Profile Settings → Email preferences or unsubscribe. A paid introduction uses the player’s displayed name, selected Portal, recruiting-card image (photo, positions, team, playing level, statistics and award), optional highlight or video link, 200-character message and authenticated profile link, along with an eligible coach email address. When the player enables a personalized fit note, we compare the eligible coach’s stated position and playing-level needs with the player’s stated profile, within the same sport, program and Portal. We retain the resulting factual recipient message for reliable delivery. We do not use private staff notes, contacts, birth dates, references or other-Portal answers for this note, and this version sends no data to an external generative AI provider. Resend processes this information to send the message. Recipient and delivery records include provider identifiers, failures and suppression preferences so we can prevent duplicate or unwanted sends. We do not include private player email, phone or reference contacts in an introduction. Eligibility is rechecked before sending. Unsubscribing from introductions does not stop essential account/security or application-status notices.
Acceptances and payer attestations
We keep the version of the Terms and Privacy Policy displayed, the time and context of an affirmative signup, application-email or purchase acceptance, and relevant payer attestations. These records are used to honor choices, operate paid features and resolve disputes. They do not establish that a person is a verified guardian or that consent covers unrelated marketing. Account and recruiting records remain scoped by sport, role and Portal; a different host, color or paid purchase never changes access permission.
Service providers and other recipients
We use service providers for authentication, databases, file storage and application hosting. Providers include Supabase for native authentication, data and media storage, Vercel for application hosting, Stripe for payments, and Resend for access/service and introduction email. Providers process information to deliver and secure the service under their applicable agreements and policies. Other providers may deliver transactional messages or support a feature you use. External video or website links are governed by those services’ own policies. We may disclose information to comply with lawful requests, protect users or legal rights, or in a business transfer subject to applicable protections. We do not sell private player contact information to coaches. Buying an introduction pays for delivery of a player-initiated message; it does not purchase a contact list or expand profile access.
Your choices and requests
You can edit profile information, skip optional fields, manage available portal access, respond to interests and use settings to change email, reset your password or request account deletion. A coach may already have received contact information after an accepted connection; removing it from this service cannot erase copies that recipient lawfully holds. Contact privacy@playtheportal.com to request access, correction or deletion, or exercise other rights available under applicable law. We may need to verify your identity before fulfilling a request. Account and security messages are separate from optional marketing preferences.
Retention and security
We retain information as needed to operate accounts and recruiting features and to meet legitimate security, legal and dispute-resolution needs. Account deletion removes or disables information according to the deletion workflow; limited audit records, legally required records and backup copies may remain for the periods needed for those purposes. We use access controls and other safeguards, but no online service can guarantee absolute security. Never share your password or access code, and notify support of suspected unauthorized access.
Age and international access
The service is intended for users 13 and older. If we learn that information was collected from a child under 13, we will take appropriate steps to restrict the account and address that information. A parent or guardian can contact privacy@playtheportal.com about a child’s information. We do not use a minor’s recruiting information for targeted advertising or sell it. Player profiles require signed-in eligible access and are not public search-engine directories. Parents can help children use the Player account; we do not claim a separate guardian dashboard or verified guardian control unless that feature is available. Information may be processed in countries where our providers operate, including the United States, subject to applicable legal protections.
Changes and contact
We will update this notice as our data practices change and provide additional notice when required. Go Maximus operates the service. This policy describes the shared Play The Portal service, including Summer Soccer; it is not specific to a testing environment. Contact privacy@playtheportal.com for privacy questions, legal@playtheportal.com for legal questions, and support@playtheportal.com for account assistance.
